Who we are

Same Day Couriers Kent is a trading name of Astute Management, based at Alva House, Valley Drive, Gravesend, Kent DA12 5UE (‘we’, ‘us’, ‘our’). We are the controller of the personal data described in this policy. That means we decide how and why your personal data is used, and we are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

This policy explains what personal data we collect when you use samedaycourierskent.co.uk, send us an enquiry or book a delivery with us, and what we do with it. If you have any questions, email hello@samedaycourierskent.co.uk.

What personal data do we collect?

Most of our customers are businesses, but many of the details we handle still identify a person, such as a named contact or a named recipient. We collect:

  • Enquiry and quote details: your company name, your name, phone number and email address, collection and delivery postcodes, collection time and deadline, a description of the goods, their size, weight or pallet count, the vehicle you need, whether the job is one-off or regular, and anything else you tell us in the form, by email or by phone.
  • Collection and delivery details: full addresses, and the names and contact details of the people at the collection and delivery points, where you give them to us so the job can be carried out.
  • Handover and proof of delivery records: the name of the person who handed the goods over at collection, the name of the person who received them, the time of delivery and, where one is taken, a signature.
  • Billing details: invoicing contacts, billing addresses and records of the jobs we have carried out for you.
  • Correspondence: emails and messages you send us, and our replies.
  • Website data: technical information such as your IP address, browser type and the pages you visit, collected through cookies and similar technologies where you allow them (see the cookies section below).

If you are receiving a delivery, or are a contact at a collection or delivery point, we will usually have received your details from the customer who booked the job rather than from you.

You do not have to give us your personal data, but without the details a job needs we cannot quote for it or carry it out. Please only give us the personal information a job needs.

Medical specimens, legal documents and other consignments are carried as packed and sealed by the sender. We handle the package, not its contents. Please do not include health or other sensitive information about an identifiable person in an enquiry or in your booking details.

Why do we use it, and what is our lawful basis?

We only use personal data where the law allows it. For each purpose, the lawful basis we rely on is set out below.

  • Answering your enquiry and giving you a quote: taking steps at your request before entering into a contract. Where you are enquiring on behalf of a business, our legitimate interest in responding to business enquiries.
  • Carrying out a booked delivery, including arranging the vehicle and driver, collecting and delivering the goods, and sending you updates and proof of delivery: performance of our contract with you. Where the contract is with the business you work for, our legitimate interest, and that business’s, in the job being done.
  • Using the names and contact details of recipients and site contacts to collect and deliver, and to record the handover: our legitimate interest, and our customer’s, in completing the delivery that has been booked.
  • Invoicing, accounts and tax records: legal obligation.
  • Handling complaints, claims and disputes: our legitimate interest in resolving and defending claims, and legal obligation where it applies.
  • Running, securing and improving our website: our legitimate interest in keeping the site working, secure and useful.
  • Non-essential cookies, such as analytics cookies: your consent, which you can withdraw at any time.

Where we rely on legitimate interests, we have considered your rights and interests and are satisfied they do not override ours. You have the right to object to this use (see your rights below).

Who do we share it with?

We share personal data only where it is needed, and only as much as is needed.

  • Our own drivers: Same Day Couriers Kent has its own vehicles and a network of drivers based throughout Kent. The driver carrying out your job receives the collection and delivery addresses, contact names and phone numbers, and any handling instructions.
  • Partner couriers: we also work with trusted partner couriers across Kent and other parts of the country. Where a partner courier carries out a job on our behalf, we pass them only the details they need to collect and deliver it, including the recipient’s name, address and contact details.
  • Service providers: companies that provide services to us, such as our website hosting provider and the email (SMTP) provider that sends and delivers messages from our website forms. They act on our instructions and may not use your data for their own purposes.
  • Professional advisers and authorities: our accountants, insurers and legal advisers where needed, and the police, HMRC, courts or regulators where the law requires it.

Whoever carries out a job, Same Day Couriers Kent remains your point of contact for it.

Do we sell your data?

No. We do not sell, rent or trade personal data to anyone.

Is your data transferred outside the UK?

Some of our service providers may store or process data outside the UK. Where they do, we make sure the transfer is protected by the safeguards UK data protection law requires, such as a UK adequacy decision or approved contract terms.

How long do we keep it?

We keep personal data only for as long as we need it for the purpose we collected it for. Enquiries that do not lead to a booking are kept only for as long as is reasonably needed to follow up and answer questions about the quote. Records of completed jobs, including proof of delivery and invoices, are kept for as long as we need them to meet our accounting, tax and other legal obligations and to deal with any claims. When data is no longer needed, we delete it or anonymise it securely.

How do we keep it secure?

We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. Access is limited to the people who need it, and drivers and partner couriers receive only the details for the jobs they carry out. No method of sending data over the internet is completely secure, but we take reasonable steps to protect what you send us.

What are your rights?

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct data that is wrong or incomplete
  • ask us to delete your data
  • ask us to restrict how we use your data
  • object to our use of your data where we rely on legitimate interests
  • ask us to transfer data you gave us to another organisation, where this applies
  • withdraw your consent at any time, where we rely on consent

Some of these rights depend on the circumstances. For example, we may need to keep job and invoice records to meet a legal obligation even if you ask us to delete them. We do not make decisions about you using solely automated means.

To use any of these rights, email hello@samedaycourierskent.co.uk. We may need to confirm your identity first. There is normally no charge, and we will reply within one month. If a request is complex, we may extend this and will tell you why.

How can you complain?

If you are unhappy with how we have handled your personal data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk.
